Negative Balance Notifications
Waukee Community School District uses the notification system School Messenger to send negative balance notifications to parents. This allows the district to not only make this process more efficient, but by going “Green” the district saves money that can be better used in other areas.
The district no longer sends home paper reminders for low and negative balances. Instead, parents receive a phone call to the primary phone number that is listed in PowerSchool and an email. Only one phone number will be called around 12 p.m.
This only affects elementary through grade seven students. The current policies and procedures in place do not allow students grades 8-12 to charge or acquire negative balances; therefore, those students will not receive a notification.
You have the option to send cash or check made payable to Waukee Nutrition Department to the school or pay online using RevTrak. If you have any questions please contact your school secretary, lunch clerk, or the Nutrition Department at 987-2719.
The phone message will say:
Hello, this is the Waukee Community School District’s Department of Nutrition and Food Services calling to let you know that your student <<First Name>> <<Last Name>> has a school cafeteria balance of negative <<Balance>>. Because your child is important to us, we want to continue providing meals. Please deposit additional money as soon as possible. If you have any questions, call our department at 9 8 7 2 7 1 9. If you wish to hear this message again, please press the star key now. Thank you.
The email will say:
Dear Parent / Guardian,
This is to inform you that your child’s cafeteria account balance negative <<Balance>> as of 6:30 a.m. on <<Date>>. In order to keep the account current, you need to deposit money now.
You have the option to send cash or check made payable to Waukee Nutrition Department to the school or pay online at http://waukee.revtrak.net. You will need the student ID number provided on this letter. Be sure to include your student(s) name and ID number when sending payments to the school.

Negative Balance Policy (Board Policy 701.5)
The Waukee Community School District Nutrition Service Department is a self-operating program. In order to maintain financial stability and equality of all lunch paying students amidst a fast-growing school district, policies regarding lunch accounts have been adopted. The State of Iowa Bureau of Nutrition and Health Services recommends that negative balances should not be acceptable, however a general fund subsidy for negative balances would be appropriate. The Board of Education desires the Waukee Community School District Nutrition Department to be self-supporting and therefore discourages general fund subsidies.
Negative Balance Policy – Grades Kindergarten – Seventh Grade
After a student’s account is in arrears by $15 or more, notification will be sent to the parent/guardian. If the parent/guardian does not make payment to the nutrition account, the Nutrition Service Department will provide milk or juice for breakfast and a cheese sandwich and milk for lunch. Payment for these items will be charged to the student’s account.
Negative balances will be carried over to the following school year. These negative balances must be taken care of prior to the start of the school year as a part of the school registration process. Parents with accounts in arrears will be asked to send a lunch from home until negative balances have been taken care of or a payment schedule arranged and adhered to.
In grades 8-12, no charges/negative balances will be allowed.
